Getting started

Signing in

Go to app.mailospro.com and sign in with the email and password your company administrator gave you. If you don’t have an account yet, ask your administrator to create one for you.

Connecting a mailbox

From My Account, click Connect a mailbox and enter the mailbox address, password, and its IMAP/SMTP server details. Once connected, MailOS Pro synchronizes your messages into the Unified Inbox — your mail stays with your original provider; MailOS Pro reads and sends through it, it doesn’t replace it.

Your mailbox password is only ever used to connect to your mail server. It is never shown in chat, never sent to the AI assistant, and is stored encrypted.

Using your inbox

Unified Inbox, Starred, and Sent

The Unified Inbox shows every conversation across all mailboxes you have access to. Star a message to find it later under Starred. Everything you’ve sent — composed fresh or replied — appears under Sent.

Replying and composing

Open a conversation and use the reply box at the bottom, or click + Compose for a new message. Check Schedule for later to send at a specific date and time instead of immediately — all scheduling times are in IST (UTC+5:30). You can cancel a scheduled message any time before it goes out, from the Scheduled tab.

Show Images

Marketing emails are often just one large image with no plain text at all. To protect you from read-tracking, MailOS Pro blocks remote images in HTML email by default — the same way every mainstream mail client does. Click 🖼 Show images to load them for that one message, or Always show images from this sender to trust that sender going forward.

Attachments

Attachments appear as buttons under a message — click one to download it. Files are streamed securely on demand; nothing is left sitting behind a permanent public link.

Reporting spam or phishing

Use the 🚫 icon on any message to report it. It’s moved into Quarantine for review, alongside anything MailOS Pro’s own security checks already flagged automatically.

Contacts

MailOS Pro isn’t a CRM, but it keeps a lightweight contacts list — built automatically from the people you email, plus any you add manually. From the Contacts tab you can edit a contact’s name/organization/notes, delete one, or merge two duplicate entries into one.

AI features

MailOS Pro’s AI assistant can draft replies and summarize long conversations for you — it never sends anything on its own. Every AI-generated draft is clearly labeled so you always know when text came from the model versus a fallback template.

Under My Account → AI Communication Preferences, you can set your preferred tone, formality, length, and greeting/closing — this shapes how “Draft with AI” writes on your behalf.

Account & appearance

  • Change your password any time from My Account.
  • Dark mode — toggle the 🌙/☀️ icon in the top-right of the app; your choice is remembered on that device.

Frequently Asked Questions

Does MailOS Pro replace my email provider?

No. Your mail continues to live with your existing provider (Gmail, Outlook, or any IMAP/SMTP mailbox). MailOS Pro connects to it to give you one unified place to read, reply, and organize across every mailbox you use.

Why was a message quarantined instead of just landing in my inbox?

MailOS Pro runs a set of deterministic security checks (suspicious sender, suspicious links, failed authentication, risky attachments) on every incoming message. Anything that trips those checks is held in Quarantine for review rather than delivered automatically — this is a safety measure, not a guess, and quarantined messages can always be restored if they turn out to be legitimate.

Is it safe to click “Show images”?

Images are blocked by default specifically because loading a remote image can quietly tell the sender you opened their email (a “read receipt” beacon), which is common in marketing mail. Showing images is safe in the sense that it won’t run anything on your device — it only reveals to the sender that the message was opened. Only show images for senders you recognize and trust.

Can I schedule an email to send later?

Yes — check “Schedule for later” in the compose window or reply box, pick a date and time (in IST), and MailOS Pro’s scheduler will send it automatically. You can cancel it any time before it goes out from the Scheduled tab.

Does the AI assistant ever send mail on its own?

No. The AI can draft a reply or summarize a conversation for you to review, but it never sends, deletes, or schedules anything by itself — every action is something you explicitly choose to do.

I forgot my password. What do I do?

There’s no self-service “forgot password” flow yet — ask your company administrator to reset it for you from the Admin Dashboard.

Can I add another mailbox to my account?

Yes — from My Account, click “Connect a mailbox” and enter its address, password, and IMAP/SMTP details. You’ll immediately have access to it in your Unified Inbox.

What is the Contacts tab? Is it a CRM?

It’s a lightweight address book, not a CRM. It tracks who you’ve exchanged mail with, how often, and when — and lets you add notes or an organization. There’s no pipeline, deal tracking, or CRM functionality.
